The venue, whether it be a corporate, hospitality or conference venue provider is pushing you meet the deadline, and your client hasn’t given you the numbers for catering and/or the rooming list details. You eventually get the information and you’re a little past the venue’s deadline. Not ideal but there’s still a couple weeks to go.

The person you are working with at the venue has to get the information you have sent to the various parties and departments such as chefs, rooming division, operations, audio visual to name a few. Your delay in getting the details impacts on multiple departments, including your event management deadlines.

Staff shortages have impacted the venue and hospitality sectors significantly, so we need to work together to create a culture that responds to deadlines to ensure successful business for everyone.

What can we do as Event Managers and PCOs?

Educate and guide our clients on the need to have information to you on time, so you in turn can have this to your venue as required. I know that when we are late the venues still pull off amazing conferences and events, but imagine how incredible they would be if we submit everything on time? Being on time will most likely reduce the cost and make you a dream to work with.
